At Bida Events we make digital invitations and cards. For them to work we store some data of the event organizer and their guests. Here we explain which, what for and what you can do with it.
Who is responsible
The data controller is Bida Events, based in Bolivia. You can write to us at [email protected] or to the +59160385990 (WhatsApp).
When a professional (photographer, event planner or another reseller) builds an invitation with our platform, that person decides which guest data to upload and is responsible for it toward their client; we store and process it on their behalf.
Which data we store
- From the organizer or client: name, email address, username and password (the password is stored encrypted), phone number if they give it to us, and the content of their invitation: names, dates, places, photos, videos, music and texts.
- If you sign in with Google: the name, verified email and profile photo that Google shares with us, and your Google account identifier. We never receive your Google password.
- From payments: the plan or level, the months, the amount, the currency, the status and the operation code. Your card or bank details go straight to whoever processes the payment; we never see or store them.
- From guests: the name and phone number the organizer uploads, the attendance response, how many people are coming and, if they write it, their allergies or dietary restrictions.
- What guests share on their own: suggested songs, poll votes, replies to a card and photos uploaded to the photo wall.
- From visitors to this site: which campaign they came from (for example, a Facebook ad) for 30 days, with a cookie that is not needed to use the site and does not identify you; it tells us which advertising works. We do not store a visitor's name or phone number until they write to us.
What we use it for
- Show the invitation, receive RSVPs and put together the guest list, the QR-code pass and the organizer's PDF or Excel reports.
- Give the organizer dashboard access and, where it applies, the professional who built the invitation.
- Answer questions and coordinate orders and payments over WhatsApp.
- Collecting your online payments (card or QR) and activating your plan or the level of your invitation.
- Sending you your account emails: confirming your email and recovering your password.
- Protect the service: limit repeated attempts and keep technical logs to detect abuse.
We don't sell data, we don't use it for third-party advertising and we don't send automatic messages to guests: the links are shared by the organizer.
Who else sees them
- The event organizer sees their guests' responses. Guests only see the invitation and, on their personal link, their own pass.
- Invitations do not appear in search engines: only people who have the link can open them.
- Photos, videos and audio are hosted on Cloudinary; maps are shown with Google Maps, videos with YouTube and typefaces are loaded from Google Fonts. Those services receive the IP address of whoever opens the invitation, like any site that uses their tools.
- Card payments are processed by Lemon Squeezy and QR payments in Bolivia by Libélula: they receive your name, your email and the amount of the plan or level in order to charge you. Signing in with Google is handled by Google, and your account emails are sent with Zoho Mail. Each service treats that data under its own privacy policy.
How long we keep them
- The invitation and its responses are kept while the organizer keeps it active and until its expiry date.
- The photos guests upload to the photo wall are deleted 180 days after the event.
- Downloadable reports (PDF and Excel) are deleted a few days after they are generated.
- Backups are renewed periodically and the old ones are deleted.
Your rights
You can ask us to see, correct or delete your data, or to stop using it, by writing to [email protected] or to the +59160385990 (WhatsApp). If you are a guest at an event, you can also ask the organizer. We respond within a reasonable time and, if we can't delete something (for example, because the organizer still needs it for their event), we explain why.
These rights are based on the Political Constitution of the Plurinational State of Bolivia (articles 21 and 130) and on General Telecommunications and Information and Communication Technologies Law No. 164.
Security
The site works over an encrypted connection (HTTPS), passwords are stored encrypted and dashboard access is limited to each organizer. No system is infallible: if we detect a problem that affects your data, we will let you know.
Minors
Many invitations are for birthdays, quinceañeras or baptisms. The data and photos of minors are uploaded by their family or the event's adult organizer, who decides what is published.
Changes
If we change this policy, we publish the new version on this same page with its date.
